How to Post A Shift

Learn how to quickly post shifts from your position templates.

Posting a new shift can be done after you have created a position template. To learn how you can create a position template, go here.

  1. Navigate to the menu and select “Shifts”, to go to the shifts page. By default, your team is selected, but you can choose to post for another team using the drop down.

    To start, you can click on the “Post A Shift” button, which will open the New Shift Form.

    The shift title allows you to distinguish between shifts posted for the same role. This title is internal to your organization, and hence, will not be visible to Spotters. You can use it to differentiate shifts by day and time, such as weekday morning shift, and weekend evening shift; identify special one-off shifts such as holiday special; or even by your internal job requisition ID. For the purpose of this tutorial we will name it Weekday Morning Shift.

    Next, select the position from the dropdown list. If the position you're looking for does not exist, you have the option to create a new one using this button. Check to ensure that the location and wage are correct.

    Then, choose how many Spotters you need for the shift and who they will be reporting to when they check in.

    Adjust the start and end time for the shift. Note that you must post a shift for at least 3 hours, and can post for up to 14 hours. If there are breaks, enter how many minutes it will be and check this box if it is a paid break.

    In the next section, we see the option to post this position as a repeating shift, this feature allows you to post shifts on the same days every week for a determined amount of time, which you will see on the right. For example, if May 24th is selected, this shift will be posted on the same days every week until the 24th. But If this is a single shift and you do not want your shift to repeat, you can simply turn this feature off.

    Finally, there are several optional selections, the first is the bill to or job code, a feature for companies who use internal reconciliation.

    The temp to hire option shows Spotters that your posting is looking to hire them on for full time.

    Must work all days lets the Spotter know that your posting is for multiple days and you want them to commit to all the posted days.

    And private jobs are shifts that are only visible to Spotters in your Spotter pool.

    When you have filled in all the necessary information, click “Post Shift”. Your shift is now posted and live!

  2. Once your shift is posted, you can still edit the details but only for shifts that have not started yet. Click on the shift, and navigate to the "Shift Summary" Tab. For example, you can change the number of spotters needed, who they will report to, start and end date and the shift time, along with the duration of the breaks. When you are done, click “Update Shift” to save, or “Cancel” to go back without saving the changes.

    Should you want to cancel a shift once your shift is posted, you have the ability to remove a shift from your schedule as well. To cancel single shifts, click on the posting and navigate to the “Shift Summary” tab, here you will see the cancel button. Click on it and confirm that you want to cancel the shift for that day.

    To cancel all shifts, click on the “Switch to Schedule View” button, navigate to "Schedule Summary", click “Cancel All Upcoming Shifts” and confirm the cancellation.
